Adding Terms Data to Views

You can include all of the Term information you’ll see in a Container on any of your Views, and doing so is easier than ever, since all the specific Term Fields are sorted by the Term Type!

 

When you go to add Columns to your View grids, either on a report itself, or in the Default Fields and Sequence section of setting up a View, you’ll see all the new Terms Fields located right underneath the Contract Attributes. They will all be grouped together by the Term Type, Fixed, Rolling, Recurring, & Misc. 

The items located in the Misc. category are those that will only be needed in very specific cases, so we excluded them from the Term Type lists to keep them as clean as possible.

 

 

You can easily add all applicable Term Fields based on type by checking to box next to the Term Type (A), clicking the single arrow > (B), and they will all be moved over to be included on your grid in a preset order (C).


 

You of course still have the option to select just a single Term Field as with any other Contract Attribute or custom Fields. The Term Type headers are there for ease of applying when all are needed.

 

Combined Terms Data in Views

With the addition of some of the Terms Fields like Duration, Notify By, Review Recurrence, & Renewal Period that require two entries in the container (the numeric and the type), we wanted to make it easy to report on these items, and NOT require you to add multiple headers to your grid. This means that whenever you add a View header in your grid that has two entries in the container, that information will be combined in the grid itself for ease of reading.

 

As an example, we can see below that our 2 Year Duration and 60 Day Notify By entries are in the same column of our View. This will work the same for any other Term Fields that this would apply.

 

 

When you Sort by these columns, it will first sort by the Type, so all your Days, Weeks, Months, and Years are always together, and then it will sort by the numeric value.


Creating Views with Term Fields

Running a View with the new Terms Fields is the same general process as any other View you run in UCM, but there are a few items of note when adding the Terms Fields as your View Criteria.

 

For starters, this list is not alphabetical, and is “softly” grouped by the Term Type. We use the word softly, because items like Term Type and Start Date will be applicable for all Term Views, but for Review and Renewal, we have specified if those apply to Rolling or Recurring to help avoid any confusion.

 

As a helpful reminder, you can think of Review = ROLLING and Renewal=RECURRING.

 

When you select certain criteria, any with a Length, you will see two criteria appear, since you’ll need to also use the Type for those Views. This will be done automatically for you. This will apply to any of the Combined Terms from the section above.

 

 

View Results | Day, Week, Month, & Year

As of the release of Terms, any Views that are run using a Day, Week, Month, or Year selection will ONLY return values that match that type. Meaning, a View to find all Contracts that have a Duration of 3 YEARS or less, will ONLY return Contracts with a Duration of 1, 2, or 3, YEARS. 

A Contract with an 18 MONTH duration would currently NOT appear in that View. We are working on updating this however, to allow for any Length reports to include any that would apply, regardless of the Type selection.
